Meeting Minutes- August 31,2020

  1. Call to order at 7:00pm
  2. Attendance verified: Jaclyn and Jason Meng, Kim and Tracy Stringfellow, Tonia Boyette, Judy Duke, Karen and Craig Die, Shirley Vogel, Chrissi Kirkland, Allison Bainbridge, Rusty Blanton, Brian Daino, Kristi Miller, Sharon Brown, Ranette Downey, Kieth McClure.
  3. Previous meetings’ minutes- on the website
  4. Treasurer’s report: Checking: $16,187.86 Savings- $4,599.48
    1. Income- $115 for merchandise
    2. Expenditures- Sam’s and gas for Gator
    3. Petty Cash- $125
    4. Gift Card- $106
    5. PayPal- $2691 moved to checking; $865-waiting to move to checking
    6. Judy will write a check for $522 to Sign-On for Senior Flags. She will also need to get cash for program sales/raffle tickets/trailer merchandise.
    7. We invoiced $1270 up front to 3rd creative and made back $830 from parents so far.
  1. Old Busines
    1. Merchandise-
      1. Cruz’s online store merchandise hopefully will be here this week. Also confirmed with Cruz that we get the shirts for trailer by Thursday. Still waiting to hear on a design for Burk/IP shirt. May be too late to sell.
      2. Sign On store-hats are on backorder. Kristi will call about shirts for trailer and online orders.
      3. Locker room name magnets, spirit banners, and senior flags have been picked up.
    2. Fundraising for the 2020 season-
      1. Hole- 2 sets of boards will be drawn for. Tickets will be sold for the next 2 weeks. $400 sold so far. They are 1 for $5 or 5 for $20. Drawing will be Sept. 14th.
      2. Clay Shoot- Date is set for April 10th in spring.
      3. Kick a Field Goal and win a truck- tickets are done and hope to be here Wednesday or Thursday. Banner is done and truck will be at field on Friday. Kick will be Nov. 6 and tickets are $25 each. Tickets are printed and will be picked up from printer with the programs.
      4. Sign and Drive- 3 dates were given to Jeff (Sept. 5 and 12 or Oct. 24). Jeff is waiting to hear back from Ford.
    3. Military honor wall update- Jaclyn is having 3rd Creative make a graphic template for the honor wall. She is at a holding point until it is complete.
    4. Sponsors- All sponsor banners are done. There is only 1 quarter sponsor this year (Bryan’s Paint and Body). We will add advertisement during quarters if seniors do not sell 50/50 tickets. Scoreboard sponsor signs (ACE and NAPA) will be hung Thursday for the 2 being replaced.
    5. Programs- Program is done. Ranette is waiting on an invoice and will pick up programs on Wednesday or Thursday.
    6. Volunteer review-
      1. Team breakfast-need a few more spots filled
      2. Snack bags need to be made this week. Freshman/JV make theirs Wednesday @ 6 at Big Dawgs. Varsity makes theirs Thursday. Sign ups are on Facebook/Group Me app.
      3. Game day-2 sets of parents signed up for Flags/Spike. Will need someone here with them to help show them what to do.
      4. Coaches lunch- Jennifer Monroe has been reminded.
    7. Spike deflator- we have one to try this week.
    8. Sound System- Rusty has it together. Will see how it works at next game.
  1. New Business-
    1. Field workday- Banners/Senior Flags/Spirit Flags, help needs to arrive at 6pm.
    2. Golf Cart maintenance- Rusty will take it to be fixed. He has a replacement to use in case it is not back in time for the game.
  2. Open Discussion-
    1. Aubrey parent sent an email recognizing a Burk player (#11) for good sportsmanship during the Aubrey game.
  3. Coach’s report (Coach Meng)-
    1. Freshman and JV played hard and did a great job.
    2. Watched offensive and defensive clips from Aubrey game on HUDL with analysis.
    3. Also watched clips from HUDL of Canyon’s plays that we may see this game.
    4. Tickets will be available at the security desk at the high school starting at 0800 on Tuesday. Participants/parents will have until 12pm Wednesday to purchase tickets. It will then be open to the public at noon on Wednesday. Only 4 tickets per family.
    5. This week’s games:
      • Freshman is away at Jacksboro at 5pm; JV is open.
      • Varsity is home vs. Canyon Friday at 7pm.
  4. Next booster club meeting- Monday, Sept. 7 at 7:00pm in High school Cafeteria.
