Meeting Minutes- October 5, 2020

  1. Call to order-7:00pm
  2. Attendance-Tracy/Kim Stringfellow, Jason/Jaclyn Meng, Tonia Boyett, Brian Daino, Judy Duke, Allison Bainbridge, Shirley Vogel, Rusty Blanton, Ranette Downey, Sharon Brown
  3. Previous meetings’ minutes- on the website
  4. Treasurer’s report:   Checking: $14,206.84         Savings- $4,600.06
    1. Income-$173 in credit card sales, $56 in cash for merchandise and program sales.  $0.58 interest on savings account. 
    2. Expenditures- Sign-On t-shirt invoice pending.  Invoice for Informer Star ad pending.
    3. Petty Cash- $125 for program sales
    4. Cash- $150 for merchandise trailer
    5. Gift Card- $106
    6. PayPal- cleared
    7. After parents purchased pics from 3rd Creative, Boosters had a remaining balance to cover of $250.  
  5. Old Business
    1. Merchandise-
      1. Hat order is on Facebook for Venmo orders.  Sharon will check with Keith on long sleeve shirts from online order for pickup.
    2. Fundraising for the 2020 season-
      1. Clay Shoot- tabled until spring. Date is set for April 10th in spring. 
      2. Sign and Drive- 3 dates were given to Jeff (Sept. 5 and 12 or Oct. 24).  Jeff is waiting to hear back from Ford. 
    3. Military honor wall update- tabled pending the graphic.
    4. Sponsors-
      1. Whataburger, Oh-What-a-Night will be on October 13 from 5-8pm.
        1. Boys loved their Whataburger breakfast and snacks.  They would love to do every year 😊.
        2. Ranette will check on Whataburger end zone markers.
    5. Programs- Allison Bainbridge will take pictures of seniors for program during the Hirschi game.
    6. Volunteer review-
      1. Team breakfast- good for this week.  Brian will check on a sponsor for team breakfast next year.
      2. Game day- ready to go.
      3. Coaches lunch- Jaclyn Meng
    7. Golf Cart maintenance- tabled.
  6. New Business
    1. All American Keep It Clean Contest Winner- Burk Football Booster Club won the $500 prize.  We did not even know about the contest!  Awesome!  They will come to the team breakfast to present the check.
    2. Annual Lighted Christmas Parade-Saturday Dec. 12 @ 6pm.
    3. Senior Night- Oct 23rd
      1. volunteers will be needed as most Booster volunteers have senior students and will be unavailable for merchandise trailer, programs, or senior line up support. 
      2. Ranette reached out to Richard Cleaver and Brad Morris about pictures.
      3. Flowers are ordered
      4. Letter head will be provided to football seniors to write their parent letters within the next 2 weeks.
      5. Line up plans are in the works to support social distancing requirements. 
      6. Sponsors of each Friday night program were asked for pics of their seniors in a group and for a list of seniors with the names that need to be announced on senior night.  
  7. Open Discussion-
    1. Rusty would like to move weightlifting platforms to old concession stand.  He made racks for the flags.
    2. Boosters traditionally feed sub varsity teams once during the season.  With concern for game cancellations, we will select a game earlier in the season in case of a cancellation. 
      1. We will feed 8th grade on 10/12 and 7th grade on 10/13.  Chick Fil A will be ordered. Kim will pick up and deliver.  She will coordinate numbers and times with Coach Rickman.
      2. Freshman/JV will be fed for the Lake Worth game on 10/22.  Chick Fil A will be ordered and delivered before they leave town for the away game
  8. Coach’s report-
    1. Question about why team did not stay on the field during the Alma Mater at the end of the game. It was reportedly an administrative decision to ensure social distancing practices were followed. Coach Meng was asked to have the players leave the filed at the end of the game. In the future, better planning and communication will be done to avoid confusion and frustration by players and parents.
    2. Watched offensive and defensive clips from HUDL of JV game vs Decatur. Also watched HUDL clips of Hirschi’s offensive and defensive plays that we may see this week.
    3. 7th grade plays at home on Tuesday.
    4. 8th grade plays at Memorial Stadium on Monday.
    5. Freshman and JV play Hirschi at home on Thursday starting at 5pm.
    6. Varsity plays at Memorial against Hirschi on Friday at 7pm.  Tickets will be sold online.  
    7. Last week’s games:
      1. 7th grade beat McNeil 40-20; 8th grade beat McNeil 44-16
      2. Freshman lost to Decatur 29-6
      3. JV lost to Decatur 44-14
      4. Varsity lost to Decatur 69-0
  9. Next booster club meeting- Monday, Oct. 12 at 7:00pm in high school cafeteria.
